1. Who we are
Assistant Insider ("we", "us", "our") operates a private, invitation-based recommendation network for Executive Assistants, Chiefs of Staff and Family Office professionals. This policy explains what personal data we collect, how we use it, and your rights over it.
For any privacy enquiry, contact us at hello@assistantinsider.com.
2. What data we collect
- Account & profile: full name, work email, job title, employer, LinkedIn URL, city and country.
- Membership review information: the details you submit when requesting access so we can verify you are a working assistant.
- Contributions: recommendations, ratings, use cases, key strengths, descriptions and private notes you save to your collection.
- Authentication metadata: sign-in timestamps and session tokens managed by our authentication provider.
- Technical data: standard server logs, including IP address and browser user agent, used for security and abuse prevention.
We do not knowingly collect data from anyone under 18, and we do not buy personal data from third parties.
3. How we store and protect data
Data is stored in our managed backend (Lovable Cloud, powered by Supabase / PostgreSQL) with row-level security policies enforcing per-user access at the database layer. Sensitive fields such as work email and LinkedIn URL are restricted at column level and only released to the profile owner or platform administrators. Passwords are hashed by our authentication provider and are checked against the Have I Been Pwned database to block known-compromised credentials.
4. How we use your data
- To verify your eligibility for membership and operate your account.
- To display your professional contributions (recommendations, ratings, notes) to other approved members in line with the visibility rules of the platform.
- To send transactional emails relating to your account (verification, password reset, membership status).
- To investigate abuse, enforce our Terms of Use, and meet legal obligations.
We do not sell your data, and we do not use it for third-party advertising.
5. How recommendation data is used
Recommendations you submit are intended to be seen by other approved members. Each recommendation is attributed only to a professional job title (e.g. "EA to CEO"), never to your name or employer, unless you choose to make that information visible on your profile. Private notes saved inside your Collection collections are visible only to you.
6. Sharing with third parties
We share data only with the service providers that operate the platform on our behalf:
- Hosting & database: Lovable Cloud (Supabase, AWS-backed) — stores your account, profile and contributions.
- Email delivery: our transactional email provider — delivers verification and account emails.
These providers act as processors under our instructions and are bound by appropriate data-protection terms.
7. Your rights
Depending on your jurisdiction (including under UK GDPR and EU GDPR), you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate or incomplete data.
- Request deletion of your account and associated personal data.
- Object to or restrict certain processing.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with your local data-protection authority (e.g. the UK ICO).
To exercise any of these rights, email hello@assistantinsider.com. We will respond within 30 days.
8. Retention
We keep your account data for as long as your membership is active. If your account is closed or rejected, profile data is deleted within a reasonable period, except where we are required to keep a limited record for legal, security or audit purposes. Contributions you made to the platform (recommendations and ratings) may be retained in anonymised form so the collective intelligence remains useful to other members.
9. Changes to this policy
We may update this policy from time to time. Material changes will be communicated to members by email or via an in-product notice before they take effect.
